Coordinator of Information Systems

Entry Level Position - Development Department

Reports To

Director of Development


Job Summary

The Coordinator of Information Systems is responsible for the application of information technology to support the business activities of the Development Department at the Alley Theatre. This involves a thorough understanding of Paciolan, an integrated database system which tracks all earned revenue, contributed revenue and donor activity. This position requires strong analytical skills and a business background to make business processes more productive for the department


Responsibilities

  • Serve as the Department expert on the management of donor information, including Paciolan, the Alley's integrated database system.

  • Look for ways to use functions within the database system, not currently being used by the Department.

  • Become familiar with the organizational structure of the Alley and the flow of data from various departments to the Development Department.

  • Become familiar with the organizational structure within the Department and the flow of data between each division. Looks for ways to improve the flow of data.

  • Become familiar with the fundraising goals of the various divisions within the Department, including: individual giving, corporate giving, foundations and government grants and special events.

  • Become familiar with non-computer record keeping processes within the Department. Look for ways to improve these processes.

  • Become familiar with the reporting needs of the department.

  • Design reports that are customized to the particular needs of each division within the department.

  • Pull weekly and monthly reports as required by each division.

  • Extract donor lists from the database for direct mail campaigns.

  • Manage the process for cleaning up lists before sending to mailing house.

  • Manage process to develop criteria for the segmenting of donors into groups

  • Provide donors lists to the Alley's webmaster for targeted communication pieces.


Qualifications

  • Four year college degree (Management Information Systems preferred)

  • Knowledge of Universe & SQL helpful

  • Proficiency with Excel and Access

  • Proficiency with Crystal Reports

  • Strong verbal communication skills

  • Basic research skills using the internet

  • Goal-oriented person with excellent technical and communication skills

  • Ability to work on a variety of computer applications

  • Ability to work with a team oriented organization

  • Ability to represent the Alley Theatre in an appropriate manner


Salary and benefits commensurate with experience

This a full-time position
